Children and family centres privacy notice

This Privacy Notice should be read in conjunction with Milton Keynes Council’s corporate privacy notice.  

Everything we do with information about people, such as how we collect it and who we share it with, has to comply with the Data Protection Act and the General Data Protection Regulation (GDPR). A key part of this is being open about how we use information and what rights you have in respect of information we hold about you.

This Privacy Notice sets out how we use your personal information in Children and Family Centres.

Who we are

Children and Family Centres are part of the Youth and Community Service within Milton Keynes Council. We are a supportive service that is open to all Families across Milton Keynes. People often approach us for support with Family life and to access any of our seventeen centres. Therefore any personal information we hold we do so on a public interest basis and to provide the best services for the local community as possible. People can ask for their details to be deleted at any time. However should they do so this means that they will not continue to receive services from us.

What information do we hold

We collect information about people who live in Milton Keynes as well as people outside the county who use services that we provide. What information we collect varies according to the services people receive.

Typical information that we hold about individuals includes

  • Name, address, ethnicity, date of birth, religion, health information, disability, employment status, contact details, emergency contact
  • Session attendance and any Family support received

Why do we have it and what do we use it

 Most of the information we hold starts as a result of:

  • An individual directly contacting us wanting to use one of our services
  • Another organisation, such as an NHS body, making a referral to us, generally on the individual’s behalf and with their knowledge

Who we share information with and why

We share information with a range of different types of people and organisations depending on the service being provided or the statutory requirement that we have to comply with or if a child is at risk of harm. The types of recipients include:

  • service users (and families where relevant)
  • local government organisations
  • our contractors: organisations that we commission to provide goods and services
  • Bucks Fire and Rescue Services
  • education establishments such as schools, colleges and early years settings
  • current, past and prospective employers
  • police

How long we keep hold of information for

We only keep information for as long as it is needed but for a young person, this will be until they are 21 years of age. This will be based on either a legal requirement (where a law says we have to keep information for safeguarding purposes) or accepted business practice.
