Introduction

Everything Milton Keynes City Council does with information about people has to comply with the Data Protection Act 2018 and the General Data Protection Regulation. A key part of this is being open about how we use your information and what rights you have in respect of information we hold about you.

Information we collect about you:

  • Name, address, telephone number, email address, gender, and ethnicity.
  • Contact details for your parent or carer.
  • Any learning difficulties or special educational needs and/or disabilities that you might have.
  • Your status e.g., at school, sixth college, training, employment, or none of these.
  • The outcome of meetings with you, or contact by email, phone calls to/from you.

How we use your personal information (data)

Your personal information is used to provide a service to you and to help with your future for education, employment, or training. We also have a legal obligation to report monthly on the number of young people not in education, employment, or training and to provide an annual report on the destinations of young people. These reports contain only limited and necessary information, names and personal information are not provided.

With your permission and to help you, your information will be accessed by Personal Advisers, and might be shared with other staff within Milton Keynes Council Children’s Services, other departments; externally, with sixth forms, colleges of further education, training providers and employers.

How long do we keep your information?

We only keep your information for as long as it is needed

 What rights do you have?

  • You can ask to see your data
  • You can ask if your data is being shared
  • You can ask for your data to be updated (e.g., address or contact details)
  • You can request that inaccurate or incomplete data is corrected
  • You can ask for your data to be restricted
  • You can request that we do not use your data in a certain way
  • You can request that your data is removed if there is no reason for it to be retained
  • You can ask to receive, electronically, a copy of relevant documents held within your data (e.g., a CV) so that you can send it to other organizations
  • You have the right to prevent automatic processing of your data. This occurs when people are not involved in the processing or your data
  • You can make a complaint about any aspect of our use of your data

Your consent

You have the right to withdraw your consent to us using your data at any time. However, this may mean we are unable to continue to provide a service to you or fulfil our legal obligations. The implications of you giving or withdrawing your consent will be explained to you at the time. You will not be asked for your consent where we need to lawfully process your data for a public task or to comply with another legal obligation.

Complaints

If you are unhappy with any aspect of how your personal information has been collected and/or used, you can make a complaint to the Data Protection Officer. You can also report concerns to the national regulator, the Information Commissioner’s Office. Their details are on the ICO website.
